Office Assistant

Position Summary

This position will be the central point of contact and provides general company information to incoming callers and visitors. The position will also maintain the accounting department files, perform data entry, run errands, sort the mail, and provide general support for the accounting department. This person must maintain organization and confidentiality of the information contained in all documents.


  • Operate telephone switchboard to answer, screen and forward calls, providing information, and take messages.
  • Sort, open, and distribute mail.
  • File and maintain records.
  • Work in Excel to summarize and report data.
  • Enter accounting data, process daily invoices and print reports as necessary.
  • Accurately file accounting files on a daily or weekly basis while maintaining confidentiality in all matters.
  • Communicate effectively with co-workers, either in person, email or phone to determine necessary action in regard to issues such as invoicing questions.
  • Drive the company or personal vehicle to the post office and run errands as necessary.
  • Maintain office supplies inventory.
  • Coordinate travel for company employees and visitors.
  • Other tasks as necessary.

  • Accounting skills preferred
  • Keen attention to detail
  • Microsoft Office Excel, Word, and Outlook e-mail
  • Basic typing skills
  • Basic math skills
  • Communication skills are important as this position must be able to interact and communicate with various departments within the company and with incoming callers and visitors.
    • Writing skills to communicate effectively.
    • Listening skills to understand and accurately transfer incoming calls, and to understand and act on issues such as with invoicing and data entry.
  • Time Management to handle multiple tasks simultaneously and prioritize tasks accordingly.
  • Reading Comprehension.
Experience and Education
  • High School Diploma or equivalent
  • 2 years of relevant experience
  • Accounting experience in A/P, A/R preferred
Physical Requirements
  • Occasional lifting and carrying up to 20 lbs.
  • Sitting for long periods of time
  • Office environment
  • Valid drivers' license and clean driving record for insurability on company auto insurance.
  • Ability to drive to production facility, post office, bank, etc. should have own transportation available when company vehicles are not available.
